After you submit your application for admission, you must submit the educational documents listed below so that we can assess your qualifications.

Before you order documents from the institutions you attended or upload original documents through myStudentSystem, carefully review the document submission process.

Required educational documents

  • Your degree certificate(s) or diploma(s) (Diploma, Bachelor’s, Master’s, and/or Doctoral) uploaded by you through myStudentSystem

AND

  • Your academic transcript(s) sent directly by each institution attended to the Office of the University Registrar at MacEwan University

If all or part of your education did not follow the national curriculum of the country where you attended, we require different documents. Some common curriculum patterns include:

If you completed Advanced Placement (AP) courses in senior secondary/high school anywhere in the world and sat AP exams, we require:

  • Your transcript sent directly to the Office of the University Registrar at MacEwan University from College Board. Use institution code 5976.

If you completed General Certificate of Secondary Education / General Certificate of Education (GCSE/GCE) courses* in senior secondary/high school anywhere in the world, we require:

  • Your results sent directly by the examining body/bodies through which you wrote your exams to the Office of the University Registrar at MacEwan University.

*Includes:

  • General Certificate of Secondary Education (GCSE or IGCSE)
  • General Certificate of Education Ordinary Level (GCE Ordinary)
  • General Certificate of Education Advanced Subsidiary Level (GCE A/S)
  • General Certificate of Education Advanced Level (GCE A)
  • BTEC Level 3 and up

Examining bodies

If you completed French Baccalauréat courses in upper or senior secondary/high school anywhere in the world, we require:

  • Your graduation certificate/diploma (your Diplôme du Baccalauréat) uploaded by you through myStudentSystem

AND

  • Your Relevé de Notes de L’Examen Final (final examination results/academic transcript) sent directly by France’s Ministère de l’Education Nationale/Académie Régionale or, verified and sent directly by a French Embassy/Consulate to the Office of the University Registrar at MacEwan University

If you completed International Baccalaureate (IB)™ courses in senior secondary/high school anywhere in the world and sat IB exams, we require:

  • Your transcript sent directly to the Office of the University Registrar at MacEwan University from International Baccalaureate. Use institution code 001763.

NOTE: International Baccalaureate is not the same exit exam as French Pattern high school.

Check the country listing for the educational system you took part in (if you were in an American school, look at the USA listing, Indian school outside of the Republic of India, look at the India listing, for example).

Document submission process

You can upload unofficial or original documents through myStudentSystem. If your uploaded documents contain enough detail, we will complete an initial evaluation of your application with copies of your original documents while you order official educational document(s). We may be able to extend a conditional offer of admission with these unofficial documents.

Submit original documents through myStudentSystem

  • Scan—in colour—both sides of each original document. Include both sides even if one side appears blank.
  • Save each document as a PDF, JPG, JPEG, PNG, DOC or DOCX file.
  • Upload the document using myStudentSystem:
    1. Log in to myPortal.MacEwan.ca using your MacEwan username and password.
    2. Launch myStudentSystem from the Quick Links menu.
    3. From your student homepage, Select My Documents.
    4. Select the Document Type from the dropdown menu:
      • Int Transcript HS Unofficial for upper or senior secondary (high school in Canada) 
      • Int Transcript PS Unofficial for higher education or tertiary (post-secondary in Canada) 
    5. Click Upload Document. A pop-up window will appear.
      • Click My Device to search for your file, or
      • Drag your file into the box
    6. Click Upload.

Original AND official documents

If you have an academic record or document in your possession, we refer to it as an original document. It is unofficial because it is open and has not been sent directly to the Office of the University Registrar at MacEwan University from the issuing institution or authority.

If your institution/educational authority issues documents directly to you, the institution or educational authority must seal the envelope and stamp/sign-over the back flap of the envelope for us to consider them official. Do not open sealed documents. Opened documents are not official.

Document images uploaded through myStudentSystem or original documents in your possession cannot be considered official by admissions.

All academic records not issued in English require a certified English language translation. This includes transcripts (examination results, mark records, relevé des notes, etc.) and qualifications and any other documents that you are asked to submit with your application.

Translations must:

  • be completed by a translator who is certified to translate from the original language to English
  • include translator information
  • include the original document and the certified translation
  • be complete, literal, word-for-word, and
  • be laid out in the same format as the original document.

Submit your translations through myStudentSystem

  • Upload the document using myStudentSystem:
    1. Log in to myPortal.MacEwan.ca using your MacEwan username and password.

    4. Select the Document Type from the dropdown menu:
      • Document Translations
    5. Click Upload Document. A pop-up window will appear.
      • Click My Device to search for your file, or
      • Drag your file into the box
    6. Click Upload.

Transcripts are considered official only when sent directly from the issuing authority or institution(s). Most institutions/authorities send these documents to us by mail or courier. The processing time varies by institution and they may charge a fee for this service.

If the issuing authority or institution uses a digital delivery method, information must be sent to admissions@macewan.ca. We may not accept digital delivery from all issuing authorities or institutions.

If your institution/educational authority issues documents directly to you, the institution or educational authority must seal the envelope and stamp/sign-over the back flap of the envelope for us to consider them official. Do not open sealed documents. Arrange to have the sealed envelope mailed, couriered or dropped off at the front counter of the Office of the University Registrar.

Official transcripts from authorities or institutions become the property of MacEwan University. Admissions may ask to examine your original credentials (those in your possession like degree parchments). We will advise you via your myMacEwan email, which you should monitor throughout the admissions process.

Track your application online through myStudentSystem, and check your myMacEwan Gmail account regularly for updates and requests related to your application and application documents.

You can access both myStudentSystem and your myMacEwan Gmail account through myPortal.MacEwan.ca.

Check your To Do List in myStudentSystem

Your To Do List in myStudentSystem will show the item(s) required until we have received all official documents (transcripts or statements of marks for example, colour copies of credential(s) and translation(s)).

  1. Log in to myPortal.MacEwan.ca using your MacEwan username and password.
  2. Launch myStudentSystem from the Quick Links menu.
  3. From your student homepage, select Admissions & Transfer Credit.
  4. Select your application.
  5. Check the To Do List tab for a list of outstanding items.

Check your student email account

If we need to examine original documents in your possession, we will contact you through your myMacEwan Gmail account. Admissions reserves the right to request further documentation. Please read your emails from admissions@macewan.ca carefully and upload/submit your documentation promptly.
